Let’s face it, as small business owners we usually have two choices when it comes to our websitesdo something, or do nothing (because who has the time, right!). Even for myself, it’s a rare thing when I get time to set aside client work and get the time to work on my own website and digital properties. Sometimes the ‘day’ just gets in the way… you understand what I mean, don’t you?

There are just so many things to think about –

  • Website Updates (the technical stuff)
  • Website Updates (the content stuff)
  • Social Media Updates (getting your new content out there)
  • Search Engine Updates (keyword rank research, competitive analysis, on and off-page optimisation )
  • Security Updates (the stuff you’ve got to do to keep those hackers at bay)

And those are just the basics! When was the last time you revised your sales message, or your email automation, or your Analytics and Conversion Rate Analysis? Wait, what? Is that even a thing? Yes! And if you – like most small business owners – are working in the trenches running your business, you’ve got next to no chance of being able to do and manage all these things yourself.

I know, it was the same for me. I’m just lucky that I’ve got staff! And that’s what I’ve trained them to do – for me – and now for you.

Let me explain…

A little while back we did a complete redesign here at PaulBarrs.com. Not just a ‘makeover’, but a brand-new website! Once the content was done, and the new pages in place, I took note of what was missing and started to write for myself a ‘list’ of what still needed to be done. Things like –

  • Re-verify the new sitemap with Google’s Search Console and Analytics
  • Integrate the two and revisit the reports to seek out any technical errors.
  • Double check the security so that hackers didn’t get in and screw up all my hard work.

I also had to –

  • Take another look at my new sales message, and re-write a lot of the copy
  • Look again at my blogging strategies and social media integrations
  • Tighten up my sales funnels and lead generation opportunities

It was starting to become a long list! There was also –

  • Double check my current SEO rank positions and make sure that the new site hadn’t caused any loss of positions.
  • Do my SEO keyword research and competitor analysis again to seek out new market opportunities.
  • Go through all my primary pages and ‘re-optimise them’. Create new ‘secondary’ pages and internally link them –

We also re-checked page load speed, open graph social share settings and conversion opportunities. Holy crap! I realised that this list had become much more than I originally thought it was going to be. I also realised that once I’d done EVERYTHING on my list, I’d pretty much have what I call, The Perfect Website!

And here’s the thing –

I didn’t have to DO everything on my list, I just had to go through my list and ‘check off’ that they’d ben done, because many already had.

Here are the Details (the boring bits that you may – or may not – want to read).

[1] Our Hourly Packages Explained (in simple terms):

ie For the Marketing Essentials Package it says 3 (+ 3) hours. That simply means WE will schedule to do at least 3 Hours based on items in our Marketing Checklist each month (see below). Then, YOU still have the option of using up to ANOTHER 3 HOURS (the + 3) for content updates and edits to your website submitted through our Support Desk. These are for items blog posts, page edits, new content etc. Those things which are listed below under “Support” Part Two.


How do you decide which package is best for you?

Obviously ‘cost’ is a factor. We understand that. And that’s why we’ve packaged our pricing to make it affordable as well as to start getting things done. Though obviously, we can get more done with 5-hours a month then we can with 3-hours a month (and more again with 10-hours a month). The best thing to do is Contact Me to discuss options and see how these options will ‘fit’ in your business. I’ll do my best to answer your questions concisely, helping you break through the ‘blur’ that is so much of today’s digital marketing strategies.

Particulars (more of the boring stuff – and how long it takes to get the job done).

Website Hosting:

Website Hosting comes with every package at no extra cost on our dedicated custom built VPS server. Our hosting services are governed by our Website Hosting Legal Agreement, which offers 3 different hosting packages; Basic, Plus, and Platinum. Each of these are managed by Paul Barrs Publishing, on our own VPS system hosted here in Australia.

Note: As of June 2018, we give Platinum Hosting to ALL clients!

We also offer Self Managed Hosting for those who wish to ‘look after things themselves’.

Unless otherwise specified in writing, disk space and bandwidth limits are as follows.

Basic Business Hosting: 20 GB per month bandwidth and 5 GB of disk space per website that you have hosted with us.

Business Plus Hosting: 50 GB per month bandwidth and 5 GB of disk space per website that you have hosted with us.

Business Platinum Hosting: 100GB per month bandwidth and 10 GB of disk space per website that you have hosted with us.

Any time and cost incurred while moving your website from it’s current host to our VPS is included.

Note: As of June 2018, we give Platinum Hosting to ALL clients!

Please note however, that we are not Office 365 specialists. Or Microsoft Exchange or Google Apps (all email systems). We can transfer your site, but if your emails are accessed in any way other than POP 3 or IMAP, then your own email administrators are responsible for their part of the transfer at your cost. We will work with them and provide DNS access as required. Our systems run on a Linux Server.

“Support” Part One:

Our monthly Support Services are measured in blocks of time (Hours). This time is then tracked using the time monitoring platform Toggl.

Marketing Basic clients get up to 3 hours additional ‘support time’ via our Support Desk each month. Plus clients’ get 5 hours, and Platinum, up to 10 hours. These hours, if not used, do not carry over from month to month. These hours are above and beyond pre-scheduled hours via our marketing checklist items (they are a bonus!).

We use the term ‘Support’ to refer to any item of work we are doing for your site or your business (ie. requests by the client to update something). Our monthly Support Services are measured in blocks of time. This time is then tracked using the time monitoring platform Toggl.

Itemised reports are available to the client at the end of each month showing time tracked for various tasks. The advantage of using these hours is that you see a huge reduction in time billing / support compared to the industry standard of $120 / hr. If all your bonus support hours are used, the hourly fee to have our team working on your site comes down to around $50 – $60 / hr. Support requests must be requested through the proper channels to be received and replies responded to in a reasonable amount of time. To request support please email support@paulbarrs.com OR visit our Support Desk. Only sites which are registered in our system are eligible to have work performed on them under this arrangement. At this time Paul Barrs Publishing does not provide 24/7 support. Our support hours are 9am – 5pm Monday to Friday. Please note that unused time cannot be transferred from one month to another.

We do our best to complete jobs and tasks added to our Support Desk in a reasonable and timely manner. We understand that ‘time is money’, and will always do our best to assist you. In the case that your support item / job / request is going to take longer than the time you still have available in any given month, you will asked if you’d like to be billed separately to have the job finished as soon as possible, or wait until next month to see it completed.

“Support” Part Two:

This section deals specifically with what we ‘do’ as “Support Desk” items covered under one of our monthly marketing packages, and what we don’t.

Please read the details for further information.

Examples of items usually covered under this agreement:

  • General troubleshooting (HTML, CSS, Javascript)
  • Styling elements with CSS
  • Content population & image manipulation
  • Creation of basic graphics (e.g. buttons, banners, etc.)
  • WordPress consulting (advice and support)
  • Optimization of CSS, Javascript and Images
  • Theme / plugin audits / updates
  • Plugin installation and implementation

Examples of updates that are NOT usually covered, as they take up more time:

  • Website design / redesign (10 – 25 Hrs)
  • Landing page design (2 – 5 hrs)
  • Custom plugin development (10 – 20 hrs +)
  • Custom theme development (10 – 20 Hrs +)
  • Search marketing/SEO services (10 hrs + per month)
  • One on one consulting / meeting time **

** Note: One on one consulting time with Paul is measured at “double time” (1hr time takes 2 hours from the allowed support time); and is ONLY available with the Plus or Platinum Packages.

Please note that time / services / support provided beyond your block of allocated time will be billed at $120 / hr. We will always do our best to notify you of such billing prior to task commencement.

We do our best to complete jobs and tasks added to our Support Desk in a reasonable and timely manner. We understand that ‘time is money’, and will always do our best to assist you. In the case that your support item / job / request is going to take longer than the time you still have available in any given month, you will asked if you’d like to be billed separately to have the job finished as soon as possible, or wait until next month to see it completed.

WordPress Security:

Security is KEY!

We offer a near “bullet-proof” security package for all our WordPress clients. This services is set up for ALL of our monthly marketing checklist clients, with a simple guarantee: If you get hacked, we fix it for FREE!

PS. No one running our enhanced WP Security upgrades has yet ever been hacked 🙂

Our WP Security Service (WordPress Security) manages all technical updates of both plugins, the theme and WordPress itself, along with installing updated and added security measures and performing regular site backups of the WordPress install.

The WP Security Service is the best ‘insurance’ your WordPress Website can have!

In detail:

  • Installation / Configuration of appropriate security plugins.
  • Reconfiguration of WordPress security ‘defaults’ (these are hacks waiting to happen).
  • Installation of appropriate backup plugin system.
  • Scheduled monthly updates of WordPress Core, Plugins, and Backups.

SECURITY SERVICE GUARANTEE. If your WordPress website is hacked, we will restore and reinstall your site free. No additional cost. Please note this does not apply to other areas of your site that are not managed by WordPress.

Depending on the complexity of the site (and whether or not we are hosting it), it may take between 2 and 5 hours to set-up all our security upgrades. Each month from there on in, between 20 and 30 minutes maintenance is required. Large eCommerce sites may take longer as some updates are first tested on a backup server.

Web Tech and Maintenance:

Among the very first things that must be reviewed / done on any website is an upgrade to its technical side.

These are the things that customers rarely see, but in the backend can cause numerous problems. Even new site builds often still require a technical upgrade.

Our internal checklist has nearly 2-dozen items on it that need to be ‘checked off’. In some cases, we simply verify that “X” has been done, in others we then must DO IT.

These range from simple IP and SSL checks to more complex Referral Spam Filter setup in Analytics to Page Load Speed analysis and improvements.

Depending on the size of the site in question and the number of problems / errors detected, the web tech section of our internal checklist can take between 5 and 15 hours!

Hopefully yours is on the easier side 😉

Google Setup & Monitoring:

It’s an absolute basic, yes, most business (and website designers) don’t do it when their new website is set up – to register and verify your website with both Google Analytic AND Google Search Console.

It’s important that we check what has and what hasn’t been done. Firstly, that your site is registered with both Google Analytics and Google Search Console, and then also that they are integrated for better data sharing and reporting. We also set up Goals, Spam Filters and Monthly reporting.

Usually this area of our checklist can be completed under an hour.

SEO Keyword Rank Reporting:

Whether you’ve done any targeted Search Engine Optimisation or not, it’s vital that you at minimum be tracking how well you rank for your brand name keywords and your ‘top half dozen’ core keywords.

Our SEO Rank Reporting does just that.

Not only do we ‘track and report’ on how you’re ranking, but we also compare those rankings for you vs your competition (up to 3 competitors). We can also track your primary pages, crawl reports (and errors) and give you detailed knowledge about how well (or not) your website is performing in search.

Further reports can also open up new search opportunities for you to expand your reach beyond your competition.

The SEO Rank Reporting service has a one-time ‘set up’ of 1 – 2 hours, depending on detail or the required reports; then each month they are emailed automatically to you and I to review.

For both Marketing Plus and Essentials customers we also analyse, recommend and action various tasks to be consistently improving your SEO ranking across your targeted keywords and new opportunities. For exceptionally large sites with multiple tracking locations, this service can incur a $250/m surcharge.

Add Blog posts / pages etc:

Chances are you know how to add new content to your site, but the question is, “Should you?”.

As a part of our monthly services, you have unrestricted access to our Support Desk where you can at any time bring to us updates, edits, or your own new content for your site to as a job to be completed.

With each package we offer a ‘bonus’ number of hours to be used ‘in the support desk’ each month. Marketing Essentials clients get 3 hours, Marketing Plus 5 Hrs, and Marketing Platinum 10 hours.

You may choose to use these hours, or you may not. Either way, we do not “carry over” unused hours from month to month. We also do our very best to complete tasks in the quickest, most efficient time possible.

Be aware that due to how long it can take to complete certain tasks, not everything can be done under your Support Desk ‘bonus hours’.

Examples of items usually covered under this agreement:

  • General troubleshooting (HTML, CSS, Javascript)
  • Styling elements with CSS
  • Content population & image manipulation
  • Creation of basic graphics (e.g. buttons, banners, etc.)

  • Search marketing/SEO services (10 hrs + per month)

Please note that time / services / support provided beyond your block of allocated time will be billed at $120 / hr. We will always do our best to notify you of such billing prior to task commencement.

Access to our Email System:

Do you use Mailchimp or Aweber? Are you using (paying for) the Pro versions? Now you can use our own internal system and it won’t cost you a cent more.

Our Email Automation System gives you access to a fully functioning Professional Email Automation Campaign Manager – included with your monthly marketing package.

Due to the complexities of the system, we cannot list all the details here, however – in a nutshell: under the terms of this agreement you can have an unlimited number of lists (list segmenting is one of the easiest ways to get better results) and send up to 5,000 emails per month (Marketing Essentials), up to 10,000 emails per month (Marketing Plus), and up to 15,000 emails per month on the Marketing Platinum plan without incurring additional costs. Further questions and answers can be found on our Marketing Automation page.

There is no time used on our part for Marketing Essentials Customers as only 3 hours a month (when we take into consideration everything else that we’re doing) doesn’t allow for campaign set up time. You have access to the system and our training videos, and then the support desk for any questions you can’t answer.

For Marketing Plus and Marketing Platinum customers – as a guide – it can take between 2 and 3 hours to write a solid series of follow up emails, another hour to set them up on timed interval release and follow up, and another few minutes to generate the code for your subscription forms.

Newsletters take on average half to one hour to set up and schedule; and if you’re looking for more advanced list segmentation, then that can be quoted on a project by project basis.

MARKETING PLUS


SEO Keyword Research and Rank Opportunity Analysis:

For Marketing Essentials customers, we take your ‘top half dozen’ core keywords and add them to our Keyword Rank Tracking and Reporting System. For Marketing Plus and Platinum customers, we take your keywords and dig deeper, research further, and review competitive metrics to come up with the optimum keywords list ideally suited to your business!

Please understand, this is NOT just going to Google’s Keyword Explorer and downloading a keyword list. This is IN-DEPTH, highly detailed keyword ranking opportunity analysis.

Side Note: Aside from ‘doing’ SEO, I’ve also been invited to teach and speak on the topic up and down the East Coast of Australia to businesses BIG and small. This is a topic that I am passionate about.

First thing we need is your keyword starter list. Then we need to know the objective… is this block of Keyword Research for ranking opportunities? For page content? Maybe for blog Category selection or competitive analysis. We recently had one client require 8 blocks of keyword research to create 8 new Authority Content pages… this took nearly 7 hours to complete! We can customise the research to what you need.

We select. We review. We analyse. Then we set up advanced keyword rank tracking with optional geo-targeting for search opportunities.

This is a COMPLETE research and KEYWORD OPPORTUNITY ANALYSIS service.

Please note that for exceptionally large sites with multiple tracking locations, this service can incur a $250/m surcharge.

It takes on average 2 – 3 hours PER KEYWORD BLOCK (topic) to complete and finalise.

SEO On Page Updates & Edits

At minimum, when doing SEO for a new site you have to update the main page and menu pages metadata, page URL’s and header / image tags. These are the basics.

Then the site must be registered / verified with Google; with Analytics and Search Console. Reports must be run, errors fixed, content optimised and so on. Paul is a specialist in this area and has been called to teach, train and consult to both large and small business about Search Engine Optimisation.

SEO (Search Engine Optimisation) includes everything from the initial keyword research and analytics through to the On-Page SEO, and the Off-Page SEO. It also covers local SEO and touches on Content Management. This service includes, but is not limited to the following:

  • Register, Verify and Setup with Google Search Console & Analytics.
  • Set up Domain Spam filters in Analytics
  • Run Google speed tests. Fix / Improve.
  • Check for various Plugins; Adjust or Setup.
  • Create Custom 404 Error Page, check 301 / 302 redirects.
  • Check for crawl errors, problems, bad links Security issues. Fix
  • Review Image Alt tags, meta titles / descriptions. Update.
  • Review / update internal linking
  • Set up Primary Page Optimisation Tracking / Reporting
  • Setup / retest Goals in Analytics
  • Review Sitelinks
  • Re-check Search Console for errors. Fix
  • Review Backlink in Search Console. Set up reporting.
  • Do Competitive Backlink Evaluation
  • Review current Citations. Update / Edit / Add.
  • Prepare client content management strategy.

At minimum on Page SEO work can take between 5 and 15 hours; more for large sites and eCommerce sites. The good news is that other than ongoing monitoring and updates, on Page SEO is a ‘One Time Thing’. Which means, once it’s done – it’s done! And we can move on to something else.

SEO Content Creation:

Regular content updates serve two very important purposes – Google loves new content, and so do customers! Any content that we add to your site on your behalf we do so with a focus to target the keywords that we’re tracking in SERPs.

As we move towards the second half of the month, we look at the number of hours that have been billed against your account, and whilst there isn’t always time at the end of a month to target new content opportunities, when there is, we will.

We review your targeted Keywords in search and look for either blogging or page content opportunities; have new content created, and then we add it to your site. Of course, you will always have editorial privileges and can either like love (or hate!) what we come up with.

Keep in mind however, that our years of experience give us a good idea of what works both for customers and for Google.

This service IS NOT available to Marketing Essentials customers. For Marketing Plus and Platinum, it becomes a regular part of our ongoing monthly marketing strategy and usually takes around 1 – 2 hours per blog post (idea generation, content creation, image sourcing, editing and posting). Authority Content Pages can often take 3 – 6 hours each.

Infographics and video work can only be quoted on a project by project basis.

SEO Link Outreach:

There are 5 crucial areas of SEO; Keyword Research, Technical SEO, Mobile SEO, on Page SEO, and Off Page SEO. Off-Page SEO refers to link outreach – the process where we reach out to bloggers and website owners to generate content relevant to you, and then link ‘back’ to you in the process.

This is a 100% genuine website outreach service. We write new content each month and reach out to websites whom are likely to publish such content. Links back to your site are editorial and in-content (not sig-file links and never rubbish comment links). Our target sites are all medium to high authority sites with varied domain authority (DA).

We handle the outreach. We write the content. We get it published, and the link points back to you.

As you can imagine, this is time consuming process, which is why it’s only available to Marketing Plus and Platinum Customers.

On average it takes around 2  – 3 hours to fulfil this service, and sometimes 3 – 4 hours (per content piece with link, published online).

Local Business SEO Citations:

In the world of SEO, “Citations” refer to business directory listings. If your business primarily serves “local customers” then this service is an essential part of your marketing plan. This is a local citation SUBMISSION only service and we have a maximum of 100 approved Australian directories.

First things first we must make sure that your NAPS are consistent across the web (your name, address, and phone number). We then take this information and submit it to 100 local business directories where a category exists that is relevant to you and your business (a maximum of 100 submissions per business/website property)

All submissions are done by HAND. We don’t use robots. We strive for 100% NAP consistency across the web. A ‘new’ email address is created to receive confirmations and approvals.

We manage and monitor this email address for the first 3 months.

Our Local Business Citations service takes on average 10 hours per website / business property.

In turn, this is reflected in 2-months payment for Marketing Plus customers, 1 month for Marketing Platinum Customers.

Google Local SEO Management:

Again, for local businesses, this is the bee’s knees!

You absolutely must have a solid local business profile. For those who don’t, we set it up, and fill it with content.

Google local is always evolving. Not only is there opportunity for photos and videos, but also posts which can present opportunities to book a service online, or shop online, or get a quote, or ‘read more’.

When working on Google local we constantly add new content and posts at least twice weekly. We also optimise your profile with keywords and local identifiers to help you get found in local and mobile search.

About an hour to set up and then 20 – 30 minutes per week to monitor and add to.

Sales copy review / rewrites:

It doesn’t matter how much traffic you’re getting, if it doesn’t convert, it doesn’t count!

This is a very simple service, we look at your primary conversion points across your site and write / re-write content where necessary.

If necessary, we can also set up event tracking in Analytics to monitor results.

Though it may be a simple service, it’s not a short one. As a rule, it can take up to 3 – 4 hours PER PAGE to rewrite a page and set up solid conversion points.

Depending on the size of the site, this can take several months to complete within time allowed (this page alone has taken me about 7 hours to write!).

Landing Page Setup

Do you run paid advertising campaigns?

If so, then it’s essential you follow the Golden Rule of Paid Advertising and NEVER send paid traffic direct to the home page of your website. To accurately track conversions, each ad set (in whatever medium) should have its own landing page.

Depending upon your desired outcome / objective of your ad campaigns, we can set up the standard landing page “with digital download / subscribe form” through to more complete sales pages.

Where subscription forms and follow up emails are required, we can integrate this with our Email Automation System. We can write, prepare, and setup the entire process for you.

How long is a piece of string :)? Obviously, this comes down to individual requirements; but as an example, if we’re creating all graphics, all sales copy, all emails and the PDF document that clients download as well, this can take upwards from 15 – 20 hours, so, at the top package, 2 months or so. The more content you can provide to us, the less time needed.

We find that for most customers this is a one-time thing, perhaps 2-time. Once done, it doesn’t need to be repeated (as a complete service), only duplicated.

Got something useful / powerful / or interesting to say? Would you like it put together as an eBook for digital download?

Paul has published 43 different digital products since July 2001 – and delivered almost half a million downloads between them! He can help.

You need to write the content, though Paul can help with direction and guidance.

At times, we can even do research to help you focus on what’s necessary and what’s not. Then, once the content has come together, we take it and put it onto a suitable format for download, along with appropriate images to enhance the readers experience.

Again, how long is a piece of string? The more content you can provide (along with things like editing etc), the less time is needed. Please note that formatting a ‘word document’ into Amazon Kindle format can take 5-times longer than designing a standard PDF.

Once done though, it’s done, and you have a brand-new eBook ready to sell or give away.

Sales Funnel Setup:

Most people think that the sales funnel starts when the customer first arrives on your website… no.

It starts wherever they first see you: maybe in search, maybe in social. Maybe on a flyer or a direct mail piece, or maybe a promoted link on another website. Wherever it is, we review it and then step through the sales funnel as it applies from your site from first look to last.

From the first look to the last…

We set up Google Analytics event tracking or UTM tracking codes and start reviewing the data. We map out the ‘sales pages’ and the ‘funnel’ from top to bottom. We review the sales copy, the click through rates, the drop off points, the emails, the cart abandonment rates and look to where we can plug the holes, testing, tweaking, and improving along the way.

As much as needed. Depending on the size of the site and the number of product groups / special offers this can run over a few months.

Please note that what we DO NOT DO is implement the highly inflated “internet marketing” style sales funnel with multiple CTA’s that do little more than piss of educated people and get high refunds from gullible people.

Social Media Posting:

Different customers come from different places; one of these is social media.

And while it’s not necessary to blast your social profiles with pages an pages of content, customers do like to know that you’re active – we take care of that.

Using our Hootsuite Pro account we schedule 1 – 2 posts per day acros your various social media pages (as if we were you). Ideally the content that we schedule comes from your blog and website pages, but if not, we can also share other related content for your audience from non-competitive websites.

If you already have your content in place (and that’s what we can share) then this service may only take 1 – 2 hours each month (assuming that your pages ‘share’ well!).

If not then your pages may need a ‘one-time’ social meta update. This takes approximately 20 minutes per page / post to create suitable graphics and set up.

Facebook Ad Management:

Are you using Facebook ‘remarketing’ as a part of your overall marketing strategy?

You should be!

This is where we help you put together ads to run and then monitor your ad performance.

There are many optional extras when it comes to this service, and the amount of work that we do is entirely dependant on the amount of time we have available.

For most businesses, we need to not only create the ads, but also the ad ‘landing pages’ – the pages that people arrive on when they click through on your ad. Then, we need to set up appropriate tracking data through Google Analytics Goals and Events.

Based on the data presented to us, we can action recommendations for following months.

Initial setup of your ads can take 5 – 8 hours. Initial setup of your ad ‘landing-pages’ can take 8 – 10hrs alone! Ads then need constant tweaking and retargeting each and every month (2 – 3 hours). Ongoing review and management takes about an hour each week! Hence why most agencies charge $1,000 PLUS for this service alone on a month by month basis.

* Note: Any ‘ad-spend’ (cost billed by Facebook for your actual PPC ads) is billed back to you on a 1-to-1 basis. We do not load your ad-spend with anything extra. Your ad-spend is NOT a part of your Platinum Marketing Service Fee.
